Malang, July 14 2023, at Aria Gajayana Hotel, Semeru Room lt 4, Head of Quality Assurance Institute (LPM) Universitas Brawijaya held a Workshop on Improvement of Standard Operating Procedures (SOP) for Quality Assurance Institutions (LPM) to Improve Service Effectiveness, together with LPM UB it begins with a welcome, briefing and official opening by Dr. Shinta Hadiyantina, S.H., M.H., as Chair of the Quality Assurance Agency. He gave an introduction and conveyed the importance of making SOPs so that they become a common understanding and reference in services at LPM UB.
The workshop began with the presentation of the first material regarding the explanation of the Fulfillment of the SAKIP SOP Document contained in the LPM UB performance agreement by the resource person Dr. Ating Yuniarti, S.Pi., M.Aqua., as Head of UB’s SAK (Performance Accountability System). This material provides an in-depth understanding of the implementation of quality SOPs. Dr. Ating Yuniarti, S.Pi., M.Aqua. also explained that a good SOP would not only increase service effectiveness, but also be able to improve the quality of work and reduce the risk of errors or failures as well as help measurable performance as reporting on mission accomplishment. The Head of SAK UB shares practical knowledge and experience regarding the preparation and implementation of effective SOPs. He highlighted the important elements that must be included in every SOP, such as clear steps, detailed instructions, and easy-to-understand implementation instructions.
Furthermore, the Chairman of the National Accreditation Center of LPM UB by the guest speaker Dra. Sri Wardhani, M.Sc. who delivered the second material regarding the Review of Standard Operating Procedure (SOP) Improvement of LPM UB. In this material, he explained the purpose of the SOP improvement workshop at LPM UB in an effort to increase efficiency and responsiveness as well as adjusting services in institutions to environmental changes and the needs of service users. In this session, he also emphasized that improving the SOP is an important step to ensure the suitability and linkage of the SOP with the goals and vision of the institution.
In this material, Dra. Sri Wardhani provided practical guidance on the stages of preparing SOPs. He outlined the steps that had to be taken, from identifying the need for change, collecting data, analyzing weaknesses, to designing a new SOP. The emphasis on the importance of involving a trained and competent team in conducting this review to obtain optimal results is expected to be implemented in daily practice, so that LPM UB is able to improve service quality and provide better satisfaction to service users.
The workshop continued with an independent work session, where each head of the center and support staff, after the second material session was finished, to be able to rework existing SOPs, which are felt to need adjustments in 2023. Each head of center and staff is responsible for carrying out tasks and coordination independently in order to improve and perfect related to the service SOP. In this stage, each head of the center leads his team to carry out an in-depth evaluation and analysis of the existing SOPs in each field or section. They are given sufficient time to identify weaknesses or deficiencies in the SOPs that have been used so far. This aims to get a comprehensive picture of the areas that need improvement.
Staff involved in this process are also given the opportunity to provide input and suggestions. They can share their experiences in implementing daily SOPs and provide different perspectives on improvement efforts. With collaboration between the head of the center and staff, it is hoped that more representative results can be achieved. During this Independent Work stage, the head of the center and staff are also expected to collect data and information related to the revised SOP. This includes documentation of work processes, expected results, and evaluation methods used. Comprehensive data collection will form a solid basis for designing new and improved SOPs.
With this process, it is hoped that LPM UB can produce SOPs that are better, relevant, and effective in meeting the demands for quality services. LPM UB is committed to continuously improving its performance by involving all parties in the SOP improvement process and maintaining a commitment to high operational standards.
The event was closed by Dr. Ir. Agustina Shinta Hartati Wahyuningtyas, M.P., as Head of the SPMI Center, who thanked all workshop participants for their participation and contribution.
